For the purpose of this Privacy Notice, Rockvale Guest House are acting as a ‘data controller’ with respect to the personal data of website visitors and customers. Data controller means that we determine why and how we process the personal data that we have collected.

- you complete the enquiry form on our website or make an online booking

- you provide information to us by telephone

The personal information we collect includes the following:
Information required to complete a booking:
- The full name and address of the person making the booking
- The email address of the person making the booking
- The telephone and mobile number of the person making the booking
- Card details (Please note: card details entered when using our online booking service are processed securely by www.worldpay.com. We do not have access to them.
The following information can also be provided but is not mandatory:
- Any additional information you wish to provide that you feel is pertinent to your stay (e.g. food or other allergies, dietary requirements, special requirements, etc.)
- If you provide Credit/debit card details over the telephone or in person these will be entered into our secure payment system. We will not hold your card details other than within the secure payment system. We request that you DO NOT provide card details by email.
What legal basis are used to justify the collection of your personal data?
We use ‘contract’ and/or ‘legitimate interest’ as the legal basis for collecting, storing and processing your personal data when:
- You make a booking/purchase;
- You contact us with a booking enquiry
We use ‘consent’ as the legal basis for collecting, storing and processing your personal data only when you have proactively and specifically agreed to us contacting you with marketing promotions - for example, when you have ticked a box on our website to opt-in to receiving marketing promotions. You can withdraw your consent at any time.
How we store your data and keep it secure
We take all reasonable technical and organisational precautions to store your information in a secure manner and prevent its loss or misuse. Any personal data collected via our website is held within a secure, password protected system, only authorised users with valid user names and passwords have access to the data held on this system.
All credit and debit card data captured via our booking system or by other means is kept secure and we are compliant with the PCI DSS scheme.
Using your personal information.
The personal information provided to us will only be used in connection with your booking or any future booking you may make with us. We may use your personal information to:
- Process your booking and provide confirmation details
- Obtain payments for our services via credit/debit card
- Respond to any questions or comments via e-mail, telephone or post.
- Provide information that may be useful to you
- Return any items that you may forget to take with you on check-out
- Send an email after your stay with a discount code that can be used for future bookings
- Should you re-book with us, entering your name should allow the online booking system to remember and automatically fill in your details, saving you from filling them out again.
We will never share your personal data with any other third party company for marketing purposes.
Disclosures and Data Storage
We will not store or process your personal information outside the United Kingdom. Other than this, we may disclose your personal data as required by law to any third parties.

Our website uses cookies. Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to comply statistical reports on website activity.

How can you delete your personal data?
In certain circumstances you have the right to request that any personal data we hold is erased. If you wish to delete any of your personal data which we hold on record we will do everything in our power, where legally allowed, to comply with your request. In the first instance, please contact us on 01879 220 675 to discuss your request. Please note: We may not be able to delete all of your personal data from our records if you have made a purchase from us within the past 7 years. Also please be aware that because of backups and records of deletions, it may be impossible to delete a record without retaining some residual information retrospectively. An individual who requests to have Personally Identifiable Information deactivated will have this information functionally deleted, and we will not sell, transfer, or use personal data relating to that individual in any way moving forward.
